POPFile Anti-Spam Tool

POPFile is an automatic mail classification tool. Once properly set up and trained, it will scan all email as it arrives and classify it based on your training. You can give it a simple job, like separating out junk e-mail, or use it to identify e-mails from business associates, friends, and approved email lists. Think of it as a personal assistant for your inbox.

This tool is highly customizable and a great way to classify POP based e-mail.  POPFILE can be used with Outlook, or any e-mail tool to better identify spam or even use it to identify frendly e-mails as well.  This tool uses a smart filter that learns as it recieves e-mails. 

The reason the tool works so well is the method it learns or is trained.   It doesn't classify spam by black lists or white lists, even though these items can be set.  It classifies the e-mail by the content of the e-mail itself. You start by passing all e-mail threw POPFILE, you then review the list of e-mails and classify them based on content to preassigned buckets. (An example of buckets are 'spam' and 'good')  These buckets build keyword combinations that help identify future e-mails correctly.  There will be incorrect classifications at first, but as you train the system it will become more and more accurate.  After sufficent training of the system you can get an accuracy rate of 99% or better.  This means less than 1% of your e-mails will be incorrectly marked.

 Using rules in Outlook:

  • Create a folder in your inbox by right clicking the folder then select New Folder.
  • Select Tools  --->  Rules and Alerts
  • Select New Rule
  • In Outlook 2003 choose "Move message with speific words in the subject folder" in step 1
      • In XP or 2000 you will need to create a custom rule
  • Step 2 will contain the two choices you need to alter.
  • Select 'specific words' then add your POP file Identifyer like '[spam]' then click 'Add'
  • Click OK
  • Then select 'specified' to select the folder.  If you are moving items identified as '[spam]' you may want to move it to the 'Junk Mail' folder in Outlook 2003.  (You will need to create a 'Junk Mail' folder for later versions of Outlook)
  • Select Finish then OK
